Today

A card moves into ready to invoice and sits there. Whoever raises invoices is not looking at that board today, so the client is billed on Thursday for work that finished on Monday.

What it connects

The gap it closes

Your board is not decoration. The columns are the process: waiting on the client, in review, ready to invoice. Somebody drags a card across and that is the real signal that something changed — and it reaches nobody, because the next step lives in a different system and depends on a person remembering.

Connect Asana and the column does the telling. A card crossing into review starts the review; a card reaching done starts what comes after done. It happens as the card lands, not on the next sweep.

Where it fits

Reach for this when your team reads the board, not a task list. The columns mean something real about where a job has got to. They get rearranged as the team learns what the stages should be.

What it does once connected

What stops being your job

01

Moving the card is the signal

Dragging a job into the next column starts what that column means. Nobody sends a message afterwards saying it has moved.

02

It happens as it lands

The board and everything downstream of it stay level with each other. There is no window where one screen is right and the other is yesterday.

03

Rearranging the board is safe

Projects and columns are matched by their name. Rename, reorder and add as the team learns, and work still lands where you meant it to.

In practice

Watch one go through

One job going through, start to finish, with nobody watching it. The steps are what this connection actually does; the times beside them are illustrative.

Questions

What people ask

What can this do in Asana?

Create projects, tasks and subtasks. Add the columns they sit in, update a task as things change, and comment on one. It can also find an existing task in a project. That is the scope, and it covers the filing somebody does by hand after every call.

Our columns mean specific things. Can it act on them?

That is the useful part. A card crossing into a column is the moment something starts. The review, the invoice, the check-in on a client now waiting on you. Your columns already encode the process, so the process runs off them rather than off somebody watching.

We rename and reshuffle the board fairly often. Is that a problem?

No. Projects and columns are matched by name, not by position. A board reorganised in March still receives work correctly in April. You change the board when the team needs it changed, and nothing has to be rewired behind it.

How quickly does anything happen?

As the card moves. Asana tells us at the moment it happens. The follow-on starts while the person who moved it is still looking at the screen. There is no queue and no scheduled check that might be twenty minutes behind.

Does work go the other way, from us into Asana?

Yes, both directions are live. A new client, a booked job or an answered form can create the project and the tasks inside it. Then the board takes over, and what happens on the board comes back to us.
