Today

At 4pm on a Friday somebody tidies the top row of the sheet, renaming Mobile to Cell because it reads better. The rows stop landing on Monday and nobody notices until the month-end count comes up short.

What it connects

The gap it closes

The sheet is the part of the business nobody calls software. It is where the jobs get counted, where the weekly numbers live, and where a person can see everything at once without asking. So the system writes to it — a line per lead, a line per booking, a line per sale — and on Friday somebody widens a column, renames the top of one to something clearer, and improves it. They were right to. But that top row is the map, and once it changes the rows arrive somewhere else or stop arriving at all. Connect Google and three things become ordinary: the sheet gets its rows and can be read back, so a price list or a territory list in a tab decides what happens next; a file sitting in Drive can be picked straight into a page or a message; and the mail you send a client from your own Gmail shows up on their record, with your replies from the record going out of the same mailbox.

Where it fits

Reach for this where the business already runs on a spreadsheet and a shared drive. The sheet somebody built years ago that everyone still checks. The folder of logos, price lists and signed forms that gets attached by hand.

The ledger

What stops being your job

01

The sheet fills itself

A row per lead, per booking, per sale, written as it happens. The person who keeps the count stops keeping it and starts reading it.

02

A sheet can answer a question

Look a row up and use what it says. Your price list, your zones, your installer per area, kept somewhere anyone can edit.

03

Your Gmail thread sits on the record

The mail you sent a client from your own inbox appears against them, and a reply typed on the record leaves from that same mailbox.

Three different places, because these are three different things. Drive is under Media Storage. A sheet step is added inside the automation. Gmail is per user, under My Profile in your own settings, not an account-wide tile.

Questions

What people ask

What does this cover, exactly?

Three things. A spreadsheet in Google Sheets, written to and read back. Files in Google Drive, chosen when you are building a page or attaching something. And your own Gmail conversations showing on the client's record. That is the scope, and each one replaces something a person does by hand today.

Somebody renamed a column and the rows stopped. Why?

The top row is the map. Rename a heading and the map is out of date, so the rows go to the wrong place or stop. The fix is a refresh inside the system after the change. Treat the top row of a sheet the system writes to as something you decide once and leave alone.

Will my old emails appear once we connect?

New ones will. Mail sent before the day you connect stays in Gmail where it already is, so the record starts from the moment you turn it on rather than filling in backwards. Give it a week and the conversation on a live client reads as a full history.

How does Drive come into it?

As a place to pick from. When you are building a page or attaching something to a message, your Drive is there to choose the file out of. Your folders stay exactly as your team arranged them. What changes is that attaching the price list stops meaning downloading it first.

What happens to a row we no longer want?

Its contents are cleared and the line itself stays where it was. So a long-running sheet gathers empty lines over time. If the sheet is something a person reads rather than a log, tidy it on a schedule you decide, the way you would any spreadsheet.
