Put a new customer in both places, and act when a new one shows up in Google.
A driver takes a call at 7.40am outside a gate, saves the name on his handset and drives on. Nobody else in the business ever learns that customer exists.
Google Contacts is the one thing on this list that lives in a pocket. It is why a returning customer’s name comes up on the screen instead of a number nobody recognises. And that is exactly where it goes wrong: the call comes in while somebody is parked outside a job, they save the name and the number on the handset because that is what is in their hand, and they assume the business now has it. The business does not. Six months later that customer is not on any list, gets no reminder, and hears nothing when the service is due. Connect Google Contacts and a new person entered on one side can be put on the other, with the details filled in rather than retyped. A new name appearing in Google can start something here. And a contact can be looked up before a duplicate is made of somebody you already know.
Reach for this where the phone is the office. Trades, deliveries, callouts, anyone who takes the job standing in front of it. The address book on the handset is the real customer list and nothing else knows about it.

Someone new saved on a phone can reach the business list, so the person who answers next time has the same name in front of them.
The moment a customer appears, the first text, the quote or the booking link can go out. Nobody has to remember they were added.
Put people into a group as they arrive. Your service list, your trade accounts, your area. The list is made as you go, not on the day you need it.
It sits with the rest of your connections in settings, and it can also be connected the first time you reach for it inside an automation.

It handles new people, both ways. A customer created here can be put into Google Contacts with the details filled in, and a new name appearing in Google can create the record here and start what follows. Contacts can be looked up first, and people can be put into groups. That is the scope.
Treat a change on the handset as a note to yourself and a change in the business record as the real one. This is built around people arriving, not around edits. If the number that matters is the one the office dials, keep the business record right and let it lead.
Within a few minutes, not the same second. Google is checked on a short cycle rather than the moment you tap save. For a welcome text or a follow-up that is plenty. For something you are standing there waiting on, it will feel like a pause.
No. Any Gmail account works. The address book on an ordinary personal Google account behaves the same as one on a company plan, which matters if your team runs on their own phones and their own accounts, as most small crews do.
Only if nobody looks first. A contact can be searched for before one is made, so an existing customer is found and updated rather than added again. That check is something you decide to put in. Skip it and two Dave Reynoldses will eventually appear.
Your pipeline, your data. Not a slide deck.
